Updated by BRIGHT

2 things you need to do on 13th January:

  1. Check that your residential referrals have been migrated from IRMS

  2. Update total bed numbers for each facility and gender for your locations

--

(1) Check migrated referrals from IRMS

Check that all active residential referrals have been migrated to BRIGHT from IRMS. You can find these referrals under 'Organisation referrals'.

Refer back to IRMS to confirm all details and information within each referral.

Statuses on IRMS have been mapped to the following statuses on BRIGHT:

  • Admitted by service provider

  • Scheduling by service provider

  • Assigned to service provider

  • Pending AIC review

  • Pending AIC assignment

  • On waitlist

  • Closed

  • Discharged

(2) Update bed states for locations with NH, NHRC, and SH services
SP admins must update each location's total number of beds, otherwise you will not be able to receive referrals.

Select 'Manage location' from the settings dropdown

Select the location for which you would like to edit bed numbers

Vacancies are set to 0 by default. Click anywhere on the availability card to proceed to the next page

On this page, you will see the following columns:

  • Total beds: Default 0 for every facility for your location to update

  • Admitted: Number of existing admitted cases based on referrals migrated from IRMS.

  • Pending: Numbers of existing assigned cases and scheduled cases based on referrals migrated from IRMS.

  • Available for assignment: 0 beds will be available for assignment until you update Total beds

  • Waitlist: Number of cases on your waitlist. This will automatically be assigned to your location once vacancies open up.

Click on "Edit vacancies" to edit the total beds allocated for each facility. BRIGHT will automatically calculate the number of beds available for assignment.

Enter the total number of beds your location has for each facility and gender. This includes all occupied beds as well. Once completed, click on Save vacancies.

Once saved, BRIGHT will calculate the number of beds available for assignment automatically. Available for assignment = Total beds - Admitted - Pending admission.

See example below for the General facility.

  • There are 3 beds available for assignment (total beds - current admitted and pending beds). This means that BRIGHT can continue to assign 3 more referrals to you.

To open up 1 vacancy at a time, input total beds as (Admitted+Pending)+1 so only 1 case is assigned to you. If your waitlist has 10 cases, and you open 10 vacancies, all 10 cases will be assigned immediately.

You can now start receiving referrals from AIC.

Once you have updated your total beds, AIC can now start assigning referrals to your location. For help on how to admit/reject/withdraw referrals, visit our interactive guides here.
